Project Coordinator

job summary:

  • Manage the Application Product Delivery Process (APDP) by scheduling and leading monthly decision meetings, documenting and reporting meeting results, overseeing the workflow approval process activities, and supporting a Global Application Engineering Team on the process.

  • Work with a cross-functional team to develop/ maintain Portfolio Planning tools and information used to manage overall R&D, Capital and resource project needs to support the overall Engine Portfolio Plan.

responsibilities:

Specific duties include the following:

  • Support the Portfolio Manager with managing and the reporting of the overall Portfolio process

  • Schedule and facilitate two monthly meetings segmented by Engine Platforms to review, discuss and approve application projects

  • Schedule and facilitate meetings, as required, to support Global Growth initiatives in new markets

  • Document and publish meeting outcomes

  • Manage, update and maintain monthly reports on the status of programs to closure

  • Provide direction and continuous improvement recommendations to streamline processes for documenting and reporting program development status

  • Propose, develop and implement opportunities to automate processes using SharePoint and Microsoft Office platforms

  • Prepare meeting agendas and required attendees, and confirm meeting participant readiness and ensure resource availability for all meetings

  • Facilitate meetings with Product Planning, Engineering and Factory representatives who are involved in supporting APDP and impacted by / in support of requested projects when conflicts emerge

  • Ensure the completeness of project requests prior to meetings and discuss with program requests

  • Keep meetings on topic and on time

  • Create, maintain and actively manage Microsoft SharePoint sites

  • Manage Outlook distribution lists for communication with meeting participants and Stakeholders

  • Manage stakeholder list for workflow routing to ensure appropriate options are represented for project requests to reference and ensure appropriate engineering teams are being notified of new projects.

  • Provide additional tracking, reporting, or presentations as may be requested by company Leadership

  • Manage the full list of Application programs to ensure requesters are returning to meetings in a timely manner and communicating current status

  • Create training/reference material and train cross functional groups on the APDP and portfolio process

  • Support the process by developing and maintaining of resource planning tools, used to analyze program resource ( people, R&D, Capital) needs for Enterprise Product Development Programs (EPDP) and APDP

qualifications:

  • Experience planning and scheduling meeting/events with multiple topics and attendees

  • Evaluating and improving processes to improve productivity

  • Demonstrated experience with managing data in Microsoft Excel and working with SharePoint

  • Preference for computer science, with business process type problem solving capabilities.

  • Strong analytical and team facilitation skills.

  • Flexibility and willingness to try new things.

skills: Technical Skills & Knowledge:

  • Skills in scheduling, organizing and managing physical and virtual meetings on a Global scale

  • Proficiency in MS Office Suite of programs including SharePoint and InfoPath

  • Knowledge of process development and implementing process change

  • Experience working across multiple functional areas and operating locations

Education

  • 4-Year Degree or Equivalent experience in one of the following disciplines: Computer Science, Business/Management, Engineering/Technology
